Data protection

PREAMBLE

To carry out its mission, the PTA LFiZ (Parents’ and Teachers’ Association of the Lycée Français International de Zürich) collects and processes personal data about LFiZ parents.

These data are gathered either when parents join the PTA LFiZ or in the context of organizing events, various meetings, and active information-gathering campaigns based on the consent of the individuals concerned (for example, via the LFiZ).

In accordance with current regulations, in particular Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, the PTA LFiZ has established a policy and information framework regarding the collection, use, transmission, management, and protection of personal data subject to the General Data Protection Regulation (GDPR).

This regulation guarantees individuals the right to access, rectify, obtain a copy of, and delete their data, and requires institutions to obtain and demonstrate informed consent, to ensure the security of all collected, processed, and stored data, and to document protective measures and procedures.

The PTA LFiZ is committed to protecting the personal data entrusted to it and applies rules and procedures designed to ensure the confidentiality of that data.

To this end, this document is intended to describe:

  • which personal data may be collected by the PTA,
  • how those data may be used,
  • and what rights the responsible parties have regarding their personal data and those of their children.

II – USE

DATA PROCESSING

The personal data collected by the PTA LFiZ arise exclusively from the performance of its mission or services offered to families.

Specific case of Class WhatsApp Groups: within WhatsApp groups, use of the tool makes a user’s phone number visible to the group. Enrollment in these groups occurs only with the explicit consent of the individuals concerned.

DATA ACCESSIBILITY

Internal service of the PTA LFiZ

Several internal services within the PTA LFiZ have access to the data.

Internal permissions ensure compliance with confidentiality; corresponding user profiles provide appropriate safeguards for families.

TRANSMISSION TO THIRD PARTIES

The PTA LFiZ guarantees that data are never transmitted to third parties without the member’s express consent.

DATA PROTECTION AND SECURITY
  • Access to member data occurs via a secure connection on our website.
  • Network use is monitored; intrusion detection and antivirus protections are in place (paid WordPress service).
  • Backups are encrypted and can only be restored from the platform (OVH hosting in France) or Google servers.
DATA RETENTION PERIOD
  • Data are kept for as long as necessary to fulfill the PTA LFiZ’s mission.
  • Most data are used during the current school year on the aforementioned systems, then archived or destroyed.

III – USERS’ RIGHTS

RIGHT OF ACCESS, RECTIFICATION, AND ERASURE

Parents at the LFiZ have:

  • the right to access data held about them and their children,
  • the right to rectification if the data are inaccurate or incomplete,
  • the right to withdraw, at any time, any express consents given for data processing.
  • These rights concern the data themselves and do not apply to information collected before the GDPR came into force.

RESPONSIBLE PARTIES

The data controller is the entity that determines and organizes the processing of personal data and is legally responsible for the lawfulness of such processing. The data controller is the PTA of the Lycée Français de Zurich.
